How team headshots work
A clear plan.
A calmer photography day.
From the first conversation to the final files, we work with one coordinator and an agreed photographic brief. Here’s what happens at each stage.
Plan the team standard.
We start with what your organisation needs: a new team page, a consistent staff directory, leadership portraits or a wider update. Existing photographs and brand guidelines help define the brief.
- Approximate team size and workplace location
- Background, lighting, framing and overall feel
- Where the photographs will appear
- Schedule, selection process and delivery date
Prepare the workplace
and the people.
We review the available space and work with you on the order and timing. Your staff receive preparation information so they know when to arrive, what to wear and what to expect.
- Check the shooting space, access and setup
- Plan individual slots or attendance groups
- Allow for meetings, shifts and availability
- Confirm who will approve the final choices
Photograph each person.
We bring and set up the mobile studio. Each colleague gets clear direction on posture, expression and small adjustments, with image review as we work.
- A controlled lighting and background setup
- Individual guidance, without assumed posing skills
- Image review and the agreed selection process
- A consistent look across different people
Finish and deliver
the complete set.
We retouch and finish the selected images to the agreed standard, then organise the files for your nominated contact. File names, sizes and crops are agreed for the places you’ll use them.
- Consistent colour, background and finishing
- Named files, organised for handover
- Agreed crops for websites and other uses
- A team-style reference for future sessions

Before we arrive
A little preparation
keeps the day moving.
A suitable space
Send a photograph or description of the area you have available. We’ll confirm what suits the brief.
A team list
A current list of names helps us plan attendance and name the final files correctly.
One point of contact
A nominated coordinator keeps decisions and staff communication in one place.
A clear clothing brief
We provide preparation guidance that fits your organisation’s style, including uniforms where relevant.
After the main session
Keep the look.
Add the people.
Your team won’t stay still. New starters, missed staff and role changes can be photographed with the established team look as the reference.
Depending on the numbers, we can discuss catch-up appointments at the Dulwich studio or returning to your workplace. The background, lighting, crop and finish are considered together.
Include future updates in your briefPlanning questions
The practical details.
We’ll confirm the particulars for your team in the quote and preparation process.
How much space do you need?
The setup depends on the photographic brief and the room layout. Send a photograph or rough dimensions of the space you have available. We’ll check the background, lighting, equipment and room for staff movement before confirming the location.
How many people can you photograph in a day?
We plan the timetable around the number of people, the style of photograph, image review and the time available. Larger teams can be spread across days, locations or attendance groups. Your quote and run sheet will set out the agreed plan.
Do staff need to know how to pose?
No. We guide each person through the session, including posture, expression and small adjustments. Reviewing images as we work helps people see what is working.
Can our team be photographed across several dates or sites?
Yes, we can discuss a plan around different offices, shifts and staff availability. We establish a photographic standard and refer back to it across the agreed sessions.
What retouching is included?
The finishing is agreed as part of the photographic brief. The aim is a polished, consistent set in which people still look like themselves. Tell us about specific requirements before the session so they can be included in the scope.
When will we receive the photographs?
We agree the delivery date as part of the booking. If you have a website launch, tender or another fixed deadline, include it in your enquiry so we can confirm what is achievable.
Can you work with our existing brand guidelines?
Yes. Share your guidelines, current team page or reference photographs. We review the required lighting, background, crop and finish before agreeing the approach.
Do we need all the details before requesting a quote?
No. Start with approximate numbers, location and timing. If you’re not sure about the style, space or schedule, include what you know and we’ll work through the remaining questions with you.
Let’s plan your team session.
Tell us what you know. We’ll work through the rest with you.
